The Office Coordinator is responsible for supporting the day to day administrative operations of the site, while supporting a Trauma Informed Care environmentWith the high prevalence of trauma among individuals receiving mental health services, it is required that the Office Coordinator understand the effects of trauma on health, coping, and other aspects of lives of those we serve.
All incumbents must understand, appreciate, and respect the diversity and cultural differences within our Cascadia communityIt is expected that there is an awareness and sensitivity to the perspectives and perceptions to those we serve, as well as our colleagues.
As Cascadia is Trauma informed, the incumbent must support a Trauma Informed Care EnvironmentWith the high prevalence of trauma among individuals receiving behavioral health services, it is required that the incumbent understand the effects of trauma on health, coping, and other aspects of the lives of those we serve.
Essential Duties Provide supportive environment to clinical and administrative staff and programs.
Maintain philosophy, mission, and best practices of Cascadia and associated clinical programCommunicate effectively and provide support to staff, clients and the general public by telephone, e-mail and in person.
Manage multiple tasks in an office environment; organize and prioritize workload.
Coordinate complex systems issues for multiple sites and programs.
Provide support for site Vendors.
Manage report generation and communicate report problems to appropriate department or program; assist with the review of report problems including accuracy of data.
Document and maintain electronic health record (EHR) and ancillary records in a manner that assures compliance with all agency policies, program procedures and local, state, and federal regulationsMaintain accurate and up-to-date documentation as required, associated with billing, assessment, treatment, clients' progress and other activities.
Coordinate Quality Assurance Activities within a program or site, including chart reviews and special meetings; communicate results to management and monitor any particular concerns or issues that have been noted.
Provide administrative support for Electronic Health Records (EHR) functions that are used by all staff at the site.
Self-monitor efficiency regarding paperwork and knowledge of Cascadia policy and procedures.
Provide administrative support for referral coordination and intake for the associated program and /or site.
Track and maintain office supplies needed for the siteMay be required to run errands to maintain site supplies.
Adhere to mandatory abuse reporting laws and HIPAA requirements.
Demonstrate responsibility for safety of clients, staff and property; possess familiarity with fire regulations and evacuation procedures.
Maintain office equipment, including fax, copier, printer and computers.
Analyze problems and develop creative solutions.
Maintenance of outgoing records within HIPPA guidelines.
Complete annual employee training requirements on a timely basis as indicated in the licensing requirements for the facility as well as agency requirementsAttend seminars, training and other educational opportunities in order to develop professional skills and abilities.
Participate in all scheduled staff meetings, supervision sessions, and other departmental and agency meetings.
Perform other duties as assigned.
Program
Responsibilities:
As requested by the Operations Supervisor, may provide leadership to the Administrative Support Team with temporary lead responsibilitiesThese include answering day to day operational questions, assisting with administrative tasks, and providing assistance on coverage issues.
Provide back up for the Office Specialist positions as needed.
QualificationsEducation:
High school diploma/GED or equivalent
Experience:
Five years of work experience in an office setting, insurance or healthcare
Experience:
or demonstrated ability to fulfill the requirements of the position.
Specialized Knowledge, Skills and Abilities:
Type 50 wpm Proficiency in computer hardware and software at a level to effectively perform the job functions, including entering and retrieving data Familiarity with basic office equipment, i.

Working Conditions:
Work is generally performed in a sharedwork environment, in a health center setting, with standardday time office hours, typically 8:
30 am to 5:
00 pm.
The clinical office setting includes the Front Desk and Reception areas, clinical record areas, and shared offices.
Occasional overtime or evening work is required.
Universal Precautions and remaining alert to the environment are critical to address the potential for violent behavior, exposure to disease, bio-hazards, noise and contaminants.
The Office Specialist must have the ability to assist the team in providing safety to all residents and staff in potentially volatile situations.
