Responsible for creating, building & maintaining accurate clinician & department calendars & schedule templates utilizing analytical reports. Collaborates regularly w/ Access Management team, Physician leaders, Practice Directors, & Back office Staff Scheduling team, ensures there is an adequate number of appointments activated to meet demand, & appropriate level of back office support to manage both appointment rooming & non visit demand. Assures compliance w/ scheduling policies & procedures, through first line problem solving for access issues, which includes research & investigation, interpretation & resolution, or escalation as appropriate. Delivers high quality service to patients & clinicians.
Essential Functions:
- Create, coordinate & maintain schedules for department services & clinicians.
- Create schedules to meet established criteria & standards for member access, which includes the distribution of resources across the week, the arrangement of appointments throughout the day & the determination of the percentage of appointment types in each clinician's schedule.
- Create & build schedules for all clinicians in multiple ambulatory departments & services.
- Interpret & utilize standardized statistical models to build clinician schedules that meet access needs.
- Work w/ Access management team to identify gaps or issues regarding access, translate decisions into appointing systems.
- Adheres to minimum staffing levels, & policies & procedures to ensure standards are met for resource utilization.
- Follow policy & procedures, & employ knowledge of staffing needs & staff availability to manipulate & maintain schedules.
- Track & report on Clinician schedule changes that impact appointment supply.
- Coordinate ambulatory schedules w/ other clinical responsibilities.
- Answer questions & reconcile differences regarding clinic schedules, call duties, medical department policies & NWP.
- Research & provide answers &/or refer to appropriate responsible party.
- Process requests for time off, schedule changes & extra clinics from Providers.
- Triage, dispatch, record & file information based on staffing levels, call & ambulatory patient schedules.
- Maintain a variety of records for decision-making &/or historical purposes.
- Identify trends by tracking data.
- Refer problems to the appropriate decision-maker &/or make recommendations for problem resolution.
- Monitor & ensure compliance of appointment utilization & classification.
- Report non-compliance to appropriate supervisor or department head.
- Utilize scheduling policies & procedures.
- Interacts w/ staff & clinicians to negotiate schedule changes.
- Respond to inquiries from management & individual clinicians.
- Assure accurate & timely coding for purposes of reconciliation of time/ payroll records using a variety of systems & careful consideration of union & business contracts.
- Capture & record all special compensation, for example, recharges, second jobs, premiums, lead pay, etc.
- Assists in coverage for peers to attend meetings/ in services & other commitments including absences.
- Demonstrates flexibility & adaptability in response to unexpected changes & requests related to workload, emergencies, staffing & scheduling.
- Identifies & implements cost saving measures in collaboration w/ the Access Manager.
- Promotes cost effectiveness through proper use & conservation of supplies & equipment.
- Perform other duties as requested.
Qualifications:
Basic
Qualifications:
- Two (2) years in a closely related job.
- Two (2) years of experience working with physicians' schedules and appointments required.
- High school diploma or GED.
- Basic mathematical skills.
- Knowledge of calendar scheduling software.
- Thorough knowledge of computers.
- Working knowledge of mathematical principles as applied to statistical models.
- Demonstrates customer-focused service skills.
- Ability to use critical thinking skills in problem-solving.
- Ability to perform multiple tasks simultaneously.
- Excellent time management and prioritization skills.
- Good oral and written communication.
- Excellent conflict resolution skills.
Preferred
Qualifications:
- Two (2) years of college work preferred.
Salary Range: $22.26 - $26.70
External hires must pass a background check/drug screen.

The check will bounce and the victim is left responsible.
